While there is no restriction or condition on the volume of work for outsourcing, the benefit is substantial when the volume increases. Outsourcing is a serious policy & operational initiative for the CPA/CA Firms. The initiative involves intense engagement between the CPA/CA Firm and C&R, covering type of tasks, processes, technology, security, etc. The engagement demands reasonably significant volume of management time for one-time effort and certain volume of continuous effort on both sides. Therefore, a reasonable volume of work will benefit the CPA/CA Firm in many ways, including operational efficiency, profit and scalability
There are multiple Engagement models. Choice of model would depend upon various factors like, cost target, volume target, intensity of engagement, extent of integration, variety of tasks for outsourcing, long term strategy, etc.
- The earliest and quickest way to start is Task Delivery Model where each task or a group of tasks is handled as an engagement for a negotiated piece rate. In this model, there is no long term commitment from both the sides. Consequently, the profitability to the CPAs is not maximized and efficiency is not optimized.
- Under Dedicated Resource Model, the C&R resources are dedicated for the CPA/CA Firms on a fixed fee basis and the CPA/CA Firms will take responsibility for tasking and managing the resources. This model provides better control for the CPA/CA Firms and helps integration of the resources with the CPA/CA Firms. This is also a more profitable model but demands higher volume of engagement.
- Joint Venture Model is the most evolved model wherein C&R and the CPA/CA Firm establish a JV company in India which will build, own and manage the delivery facility. Advantages of this model for the CPA/CA Firms are: maximum control, maximum integration with the parent entity and seamless takeover upon full maturity. This model also provides maximum profit to the CPA/CA Firms.
C&R has the expertise to adopt or adapt to any technological option to minimize efforts and hurdles towards making the outsourcing work. Technology is the biggest enabler for a successful outsourcing initiative and C&R is very well equipped to handle any challenges. Because of long years of experience with different types & sizes of firms, C&R has acquired significant expertise in this area. Also, C&R’s core leadership team supported by its integrated advisory team are very competent to handle any evolving challenges.
C&R has a powerful and customized workflow management tool CNRCRM which manages the task from the start to the end and acts as an effective interface between the CPA/CA Firms and C&R. The tool takes care of creation of tasks, allocation of tasks, special instructions, queries, responses, task status and many more. The tool also facilitates secure transfer of files and documents. This tool passes through a stringent security protocol of C&R. Additionally, C&R also has the capability and experience in handling certain other third party tools and therefore there will be no challenges for the C&R to adopt any other tools as per the choice of the CPA/CA Firms.
C&R has the track record of delivering the tasks with very high quality of finish. C&R has developed and implemented robust Standard Operating Processes (SOP) which are reviewed periodically for updation and upgradation. The SOPs ensure very high standards of work as well as consistency. C&R’s process ensures adequate quantity and quality of review by experienced staff before the task is signed off by C&R. C&R has been able to deliver ready-to-use quality work on most occasions, after a few iterations initially.
Philosophically, C&R does not believe in seeking testimonials from its customers for its good work. However, most of the time customers voluntarily offer appreciations generously out of sheer excitement and satisfaction which are available as customer quotes. This, along with customer references, can be provided on specific request
C&R has been surprising the customers with attractive turnaround time. C&R is capable of completing the tasks in the shortest possible turnaround time. However, planning is the key. Estimation of volume of work & effort and the timing will help in planning, which in turn would decide the turnaround time. It is important to avoid unplanned surges.
Since C&R has the experience of dealing with a variety of CPA/CA Firms, with a variety of service offerings, with different technological environments and with a variety of software applications & tools; onboarding is not challenging. C&R’s onboarding process ensures glitch-free kick-off, saving precious time and efforts of the CPA/CA Firms without any anxiety.
C&R believes in organized and transparent communication to ensure accountability, efficiency and traceability. With this objective, C&R prefers to use it’s proprietary workflow management tool, CNRCRM. All communications including queries and clarifications are handled effectively by these workflow management tools using email protocols. Additionally, VOIP phones, Skype, MS Teams, RingCentral Meeting, etc., are also used with prior appointment. C&R has the capability to use any other third party workflow tool as preferred by the CPA/CA Firms.
C&R adopts the following methodologies post formal engagement contract:
- Team induction: This involves introduction & familiarization of key persons responsible for delivery including the leaders on both the sides.
- Set-ups: This entails completion of all critical set-ups required for accessing software, data, workflow tool, etc.
- Planning Tasks: This includes planning of the tasks for outsourcing in advance and enabling C&R to familiarize themselves with the overall requirements.
- Planning Volume: This includes deciding on quantum of tasks and flow of work.
- Kick-off: This involves an officially agreed date for commencement of the contract with the relevant stakeholders.
